DigiVista Infotech

Move to DigiVista with confidence.

Migration is a reviewed transfer, not an automatic connection to every CRM. Use Excel/CSV exports from the old system, map its columns to DigiVista templates and test a small batch before switching your team.

1. Keep a recoverable starting point

Back up the old CRM and export customers, contacts, leads, opportunities, masters and activity history. Record counts and totals. Retain the old system as read-only until reconciliation is complete. Do not upload passwords, API credentials or unrelated sensitive records.

2. Import in the right order

StepDataImportant mapping
1HSN/SAC, GST rates, unitsUse exact codes/names and reviewed classifications.
2Items / servicesUse sku, hsnCode, gstName and unitName. Referenced active masters must already exist.
3Customer companiesName, email, phone, address, GSTIN, industry. Preserve old reference IDs in notes if needed.
4LeadsUse the lead importer. Map stages, owners and phone country codes. Review duplicates.
5Contacts and opportunitiesExport DigiVista company/lead IDs under Reports; maintain an old-to-new ID mapping before importing relationships.
6ValidationCompare imported counts, rejected rows, opportunity totals, owner assignments and sample relationships.

3. Preview → review → confirm

  1. Open Import & export or expand Master setup → Items, HSN & GST masters → Excel / CSV templates, import and migration.
  2. Select the data type and download its Excel or CSV template.
  3. Copy plain values into matching columns. Keep HSN codes and phone numbers as text. Use ISO dates for date fields.
  4. Upload up to 100 rows per batch, maximum 2 MB. Preview does not change business records.
  5. Review Ready and Invalid rows. Fix invalid rows; then confirm ready rows.
  6. Download row results. Each successful row is saved and audited separately. This is not an all-or-nothing import.

4. Updating masters safely

Export current masters with their expectedVersion. Keep unique SKU/code fixed. Update the description, price, tax reference or active status, preview again and confirm. Leave expectedVersion empty for new masters. A changed version blocks stale updates. Deactivation removes items from future selection; saved quotations keep their snapshots.

5. What needs a separate migration plan?

Historical emails, attachments, quotations, tasks, meetings, activity timestamps, complex custom fields and old automation rules are not covered by these generic importers. Staff access and security roles are configured by an administrator, not imported from a file. Preserve historical exports and arrange a dedicated mapping and validation before promising a complete historical migration.

Email and WhatsApp enquiries

Incoming enquiries appear in Inbox only when the email bridge or official WhatsApp API webhook is connected. Review an unlinked enquiry, choose Convert to lead and confirm. Matching contacts are reused. Conversion does not grant marketing permission. A normal WhatsApp app does not supply automatic CRM webhook capture.

Direct quotation email

Approve the quotation, review the automatically prepared message and recipient, record the customer's quotation request and confirm. When outgoing email is configured and sending enabled, CRM sends the message with a printable HTML quotation attachment. PDF attachment is not yet automatic. Provider acceptance is recorded separately from confirmed delivery. Failed or uncertain attempts are not automatically resent.
